1. Overview
As part of domain registration services, HostingRoo (“we”, “our”) collects and publishes registrant data through WHOIS and RDAP systems in compliance with ICANN policies and registry requirements.
We act as a reseller for:
Realtime Register B.V. (Terms)
Synergy Wholesale Pty Ltd (Reseller Agreement)
These providers maintain registry connections and fulfill ICANN data handling obligations.
2. What Data Is Collected
Data collected and stored during domain registration may include:
Registrant name
Organisation (if applicable)
Email address
Phone number
Address details
Technical, administrative, and billing contacts
This data is shared with our upstream providers and the relevant domain registry.
3. Publication of Data
Depending on the domain’s TLD, registrant data may be publicly accessible via WHOIS or RDAP lookups unless privacy protection is enabled or the registry uses privacy-default models (e.g., GDPR-compliant TLDs).
4. Privacy Protection / Redaction
Where supported, WHOIS privacy or data redaction is automatically applied in accordance with:
ICANN’s Temporary Specification for gTLD Registration Data
GDPR and other data protection laws
Provider-specific implementations by Realtime Register and Synergy Wholesale
Registrants remain contactable through anonymised relay services provided by the registry or data processor.
5. Data Sharing and Transfers
Your data may be shared with:
Upstream providers (Realtime Register and/or Synergy Wholesale)
Domain registries for TLD provisioning
ICANN or regulatory authorities upon legitimate request
HostingRoo and its providers employ technical and organisational measures to protect your data, including encryption, access controls, and privacy-by-design.
6. Legal Basis for Processing
Data processing is based on:
Contractual necessity (domain registration and management)
Legal obligations (ICANN and registry compliance)
Legitimate interests (fraud prevention, abuse reporting)
Consent, where applicable (e.g., marketing features)
7. Retention and Deletion
Registration data is retained per ICANN policy and registry rules. After expiry or termination, data may be kept for audit, abuse resolution, or legal compliance.
